Training Event Coordinator

Summary

PetroSkills has an immediate opening for a Training Event Coordinator. This individual will book and coordinate logistical details for meetings scheduled around the world. The PetroSkills Conference Center located in Katy, Texas will host several of the events. The Training Event Coordinator will be responsible for organizing the details at our own facility of which will include opening and closing the Conference Center, preparing meeting rooms (setting-up and tearing-down), stocking refreshment/break area, and assisting clients with specific questions about the area.

Essential Duties and Responsibilities

  • Responsible for the logistic coordination and organization of assigned events all over the world regarding venue booking
  • Search for event venues (hotels or conference centers) and negotiate contracts for each assigned event
  • Follow-up with venue representatives about details and needs of each event, provides all on-site requirements, and coordinates all pre-event requests
  • Approve invoices to be paid
  • Assist with all necessary visa requirements for instructors
  • Prepare and organize all event-related documents
  • Assist in rescheduling events
  • Work with different departments to determine if an event is financially viable
  • Maintain a positive, empathetic, and professional attitude toward customers
  • Communicating and coordinating with colleagues as necessary

Knowledge, Skills, and Abilities

  • Working knowledge of Excel, Outlook, and Word
  • Detailed oriented; must be able to consider all of the “variables”
  • Strong Analytical Skills
  • Negotiating Skills
  • Strong verbal and written communication
  • Well versed in hotel/venue contract language
  • Understanding of Banquet Event Orders (BEO’s)
  • Works independently
  • Excellent time management and organizational skills
  • Comfortable making decisions based on research, logic, and reason
  • Ability to track and manage pending matters to ensure resolutions
  • Competencies: ability to follow through and communicate effectively

Education and Experience

Required:

  • High School diploma or GED
  • Previous customer service and event coordination

Preferred:

  • Hotel sales experience
  • Intermediate MS Office skills

Physical Demands

  • Normal, corrective vision range; ability to see color and to distinguish letters, numbers and symbols
  • Ability to lift or move objects up to 50 lbs occasionally
  • Frequent sitting, standing, reaching overhead, stopping, bending

Position and Hours of Work

  • This is a full-time position.
  • Typical work hours are Monday-Friday, 8:30am to 5:30pm.
